Privacy policy

How Licenzy handles your data

We are transparent about what data we process, why we process it and how we protect it. No legal jargon, just plain language.

Who is responsible?

Licenzy is a product of ICT for ALL. ICT for ALL is the data controller for all data you enter through Licenzy. Questions about this privacy policy can be submitted via the contact form.

What data do we process?

Licenzy only processes data that you enter yourself or that is required to deliver the service:

  • Account data: name and email address when you register
  • License data: the licenses, subscriptions, keys, costs and notes you add yourself
  • Payment data: processed through our payment provider; Licenzy does not store full payment details
  • Technical data: IP address and session data for security and error diagnosis

License keys: what do we do with them?

License keys you store in Licenzy are saved encrypted using AES-256. This means ICT for ALL staff cannot view the contents of your keys. Keys are only accessible to you and the team members you invite yourself. Licenzy never uses your keys for any purpose other than displaying them in your dashboard.

Legal basis for processing

We process your data on the basis of contract performance (GDPR, Article 6(1)(b)): you have created an account and Licenzy delivers the service you requested. Sending renewal reminder emails falls under the same basis, as it is a core feature of paid plans.

Third-party sharing

Your data is never sold or shared with third parties for commercial purposes. Licenzy uses a limited number of service providers that are strictly necessary for the platform to function, such as a payment provider. These parties act solely as processors under a data processing agreement and have no right to use your data for their own purposes.

Where is your data stored?

Licenzy is hosted through Hosting for ALL, part of ICT for ALL. Servers are located in the EU. Your data is not stored or processed outside the EU.

Retention

Your data is retained for as long as your account is active. When you delete your account, your data is permanently removed from our systems within 30 days, unless a statutory retention obligation applies.

Your rights

Under the GDPR you have the following rights regarding your personal data:

  • Access: you can request an overview of the data we process about you
  • Correction: inaccurate data can be corrected
  • Erasure: you can request deletion of your data
  • Objection: you can object to processing
  • Portability: you can request your data in a readable format

Security

We take appropriate technical and organisational measures to protect your data:

  • All connections use HTTPS
  • Sensitive data such as license keys is stored encrypted using AES-256
  • Access to production systems is restricted and authorised

Cookies

Licenzy uses functional cookies that are strictly necessary for the application to work, such as maintaining your login session. No tracking or advertising cookies are used.

Changes

This privacy policy may be updated when the service changes. For material changes, users with an active account will receive an email notification. The date of the most recent update is shown at the bottom of this page.
